At Hearrd, we understand that your voice recordings and journal entries contain your most personal thoughts, feelings, and experiences. We built Hearrd with privacy at its core because we believe that your inner world deserves the highest level of protection. This privacy policy explains how we collect, use, protect, and respect your data—and most importantly, your rights regarding it.
What Information We Collect
Account Information
When you create an account, we collect your email address and any authentication information required to secure your account. We do not require your real name or any personally identifiable information beyond what's necessary for account security.
Voice Recordings
Your voice recordings are captured and stored securely on our servers. These recordings are encrypted both in transit and at rest. We use these recordings solely to provide transcription services and generate insights for you—they are never used for training AI models, advertising, or any other purpose without your explicit consent.
Transcribed Text
Transcriptions of your recordings are stored securely and are only accessible to you. We use industry-standard transcription services that process your audio temporarily and do not retain your recordings after transcription is complete.
Usage Data
We collect basic usage information such as when you last accessed the app, device type, and app version. This helps us improve the service and fix technical issues. We do not track your browsing behavior outside of Hearrd or use third-party analytics that could identify you personally.
How We Use Your Information
We use your information only to provide and improve the Hearrd service:
- To transcribe your voice recordings into text
- To generate personalized insights and patterns from your entries
- To store and organize your journal entries securely
- To provide technical support and respond to your requests
- To ensure the security and integrity of our service
- To comply with legal obligations when required by law
We never: sell your data, use your recordings for advertising, share your entries with third parties for marketing purposes, or use your data to train AI models without your explicit consent.
How We Protect Your Data
Encryption
All data is encrypted using industry-standard encryption (AES-256) both in transit (via TLS/SSL) and at rest. Your voice recordings and journal entries are encrypted before being stored on our servers.
Access Controls
Only you can access your journal entries and recordings. Our team cannot view your personal content unless you explicitly request support, and even then, we only access what's necessary to help you.
Secure Infrastructure
We use reputable cloud infrastructure providers with robust security measures, regular security audits, and compliance certifications. Our servers are protected by firewalls, intrusion detection systems, and continuous monitoring.
Your Rights and Control
You have complete control over your data. Here are your rights:
Right to Access
You can access all your journal entries, recordings, and account data at any time through the app.
Right to Export
You can export all your data in a machine-readable format at any time. Contact us if you need assistance with this.
Right to Delete
You can delete individual entries or your entire account at any time. When you delete your account, all your data is permanently removed from our servers within 30 days.
Right to Correction
You can edit or correct any information in your account or journal entries at any time.

Third-Party Services
We use a limited number of trusted third-party services to provide Hearrd's functionality:
Transcription Services
We use Deepgram for voice transcription. Deepgram processes your audio temporarily to generate transcriptions and does not retain your recordings after processing. Deepgram's privacy policy applies to their processing of your audio data.
Cloud Infrastructure
We use Convex for database and backend services. Your data is stored securely on Convex's infrastructure, which is compliant with industry security standards. Convex does not access your data except as necessary to provide their services.
Authentication
We use WorkOS for secure authentication. WorkOS handles your authentication credentials securely and does not have access to your journal content or recordings.
Important: All third-party services we use are contractually obligated to protect your data and are only used for the specific purposes described above. We do not share your personal content with any third parties for advertising or marketing purposes.
Data Retention
We retain your data only for as long as necessary to provide the Hearrd service:
- Active accounts: Your data is retained as long as your account is active and you're using the service.
- Deleted entries: When you delete an entry, it is permanently removed from our servers within 30 days.
- Deleted accounts: When you delete your account, all your data is permanently removed within 30 days. We may retain certain anonymized metadata for legal or security purposes, but this cannot be linked to you.
- Backups: Backups of your data may be retained for up to 90 days for disaster recovery purposes, after which they are permanently deleted.
Children's Privacy
Hearrd is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately at privacy@hearrd.app, and we will delete such information from our systems.
Changes to This Privacy Policy
We may update this privacy policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. When we make changes, we will update the "Last updated" date at the top of this page. If we make material changes that affect your rights, we will notify you via email or through a prominent notice in the app at least 30 days before the changes take effect. Your continued use of Hearrd after such changes constitutes your acceptance of the updated policy.
